Planner User Guide

Beginner guide to MW Planner — accessing the platform, Dashboard, campaign creation, submission and approval, and assigning creatives in Influence.

A beginner-friendly guide to planning, building, and approving media campaigns.

1. Introduction

MW Planner is Moving Walls' campaign planning platform for Out-of-Home (OOH) advertising. It enables media owners and planners to build, budget, target, and submit advertising campaigns across digital and traditional billboard inventory. MW Influence is the companion platform used by media owners to manage campaign delivery, approve creatives, and monitor live campaign performance.

This user guide covers two core workflows, each on its own platform:

  • MW Planner – Creating and submitting a campaign (campaign details, budgeting, targeting, inventory selection)

  • MW Influence – Managing creatives (assigning and approving ad content for line items within active campaigns)

2. Accessing Planner

You can reach Planner in either of these ways:

Method 1: Direct Login

  1. Open your web browser.

  2. Enter your login credentials.

  3. Click Sign In to access Planner.

Method 2: Access from Another Platform

If you are already signed in to another Moving Walls platform (such as Inventory, Measure, or Influence), you do not need to log in again.

  1. In the upper-left corner of the application, click the Application Launcher (grid icon).

  2. From the application menu, select Planner.

  3. You will be taken directly to the Planner Dashboard.

3. Dashboard Overview

The Dashboard is the first screen you see after logging in. It provides a high-level summary of your platform activity, revenue performance, and campaign pipeline for media owners.

Use the date filter (e.g., Last 7 Days) in the top-right corner to change the reporting period. You can also click Customize to select specific metrics to display.

3.1 Summary Cards

At the top of the Dashboard, summary cards show key figures at a glance:

  • Revenue Generated – Total revenue earned from campaigns within the selected period.

  • Average Per Unit – The average revenue earned per inventory unit.

  • Conversion Rate – The percentage of planned campaigns that were successfully delivered.

Each card also shows how the figure compares to the previous period (for example, "vs INR 8,184.47 last period"), so you can quickly see whether performance is improving.

3.2 World Map

The map highlights the countries where your organization has active campaigns. Countries are shaded by activity level (High, Medium, or Low), helping you see at a glance where most of your campaign activity is concentrated.

3.3 Sales Performance Summary

Below the summary cards, the Sales Performance Summary section breaks performance down into four tabs:

  • Overview – A general summary of sales performance.

  • Regional – Performance broken down by country, including inventory count, utilization, conversion, number of plans, cost, and revenue.

  • Clients – Performance broken down by client or brand.

  • Team – Performance broken down by team member, useful for tracking individual sales contribution.

Tip: Use the date range filter in the top-right corner of the Dashboard to change the reporting period and see how performance shifts over time.

4. Creating a New Campaign

Creating a campaign involves working through the steps in order: Campaign Details, Budgeting, Targeting, Inventories, and Optimization. Planner walks you through each step automatically, so you do not need to remember the order yourself.

  1. From the left-hand menu, click Campaigns.

  2. Click New Campaign in the top-right corner.

The Create New Campaign screen will open, showing a progress tracker across the top with each step of the process.

4.1 Step 1: Campaign Details

This is where you give the campaign its basic identity — its name, dates, and the brand it belongs to.

  1. Enter a Campaign Name that clearly identifies the campaign (a default name is suggested automatically, but it is best to use something recognizable).

  2. Set the Campaign Dates — the start and end date the campaign should run.

  3. Select the Brand (optional) the campaign is being run for.

  4. Select the Client Type from the dropdown list.

  5. Click Next Step to continue.

Note: Watch the right-hand panel as you fill in this step — it offers Form Insights and Quick Tips that explain why each field matters and how it affects later steps.

4.2 Step 2: Budgeting

This step defines how much you plan to spend and where the campaign should run geographically.

  1. Under Market Selection, choose the target country for the campaign.

  2. Under Budget & Goal Setup, select the Currency and enter the Budget Amount for the campaign.

  3. Select the Goal Type — this tells Planner what you are trying to achieve (for example, maximizing reach or impressions), which affects how inventory is later recommended to you.

  4. Click Next Step to continue.

4.3 Step 3: Targeting

Targeting defines who the campaign should reach and where. This step has two parts: Demographics and Geo-fencing.

Demographics & Venue Selection

Use this tab to describe your ideal audience. Planner uses this information to recommend the most relevant inventory later in the process.

  • Age Group – Select the age range you want to reach.

  • Gender – Select the target gender, if relevant.

  • Income Group – Select the income bracket of your target audience.

  • Interests & Activities – Select relevant interests to refine targeting.

  • Venue Type – Select the type of venue (for example, malls, transit stations) where the audience is most likely to be reached.

  • Audience Behaviour – Select the audience behaviour pattern that best matches your campaign goal.

A Movingads Smart Suggestion panel appears on the right, offering AI-based targeting recommendations based on what you have entered so far.

Geo-fencing

Geo-fencing lets you draw the exact geographic area you want your campaign to target on a map, instead of relying on a country or city name alone.

  1. Search for a location using the search bar, or use the drawing tools on the map to mark a custom area.

  2. Selected areas will appear under Selected Locations on the right.

  3. Optionally, click Import Locations to upload a list of locations instead of selecting them manually.

  4. Click Next Step once your targeting is complete.

Tip: Targeting is marked as Optional in the progress tracker, so you can skip it if you prefer Planner to recommend inventory based on budget and goals alone — but setting it up gives more accurate recommendations.

4.4 Step 4: Inventories

Inventory refers to the actual physical screens or advertising sites where your campaign will be displayed. This step is where you choose which ones to include.

  1. Review the AI Smart Recommendation panel — Planner automatically suggests inventory that matches the budget, targeting, and goals entered earlier.

  2. Click View Recommendation to see the full suggested list, or browse and search inventory manually using the search bar.

  3. Select the checkbox next to each inventory item you want to include in the campaign.

Once inventory is selected, a scheduling panel appears, allowing you to fine-tune how each selected inventory item is used:

  • Schedule – Choose the default schedule or set a custom one (specific days and times the ad should play).

  • Spend / Spot Rate – Review or adjust how much budget is allocated to this specific inventory item.

The Campaign Forecast panel on the right updates automatically as you add inventory, showing estimated impressions, reach, frequency, and total cost. Once you are satisfied with your inventory selection, click Next Step.

4.5 Step 5: Optimization

This final setup step is optional and lets you fine-tune how your budget is distributed and how performance should be optimized.

  • Review the suggested budget split across selected inventory.

  • Optimize Manually – Adjust budget distribution yourself.

  • AI Optimization – Let Planner automatically distribute budget for the best forecasted performance.

From this screen, you have two options:

  • Save as Draft – Save your progress without submitting, so you can return and finish later.

  • Preview Campaign – Review a full summary of the campaign before submitting it.

5. Submitting and Approving a Campaign

Once a campaign has been built, it needs to be submitted and approved before it goes live. This ensures every campaign is reviewed before money is committed.

5.1 Submitting a Campaign

  1. Open the campaign from the Campaigns list, or continue directly from the Optimization step.

  2. Click Submit Campaign in the top-right corner.

  3. A confirmation dialog will appear, asking you to confirm submission.

  4. Click Yes, Submit to proceed.

Note: Once submitted, no further changes can be made to the campaign unless it is rejected and sent back to you. Review all details carefully before submitting.

5.2 Campaign Approval

Depending on your role and permissions, you may be able to approve campaigns submitted by others. Approval typically passes through stages such as Agency Acceptance, Internal Review, and Media Owner Approval.

  1. Open the submitted campaign and review the Campaign Approval panel.

  2. Check the progress of each approval stage.

  3. If you have approval permissions, click Approve to confirm, or Reject to send it back for changes.

6. Assigning and Approving Creatives

Once a campaign is approved, it becomes a live deal and moves into the Influence platform, where the actual ad creatives (videos or images) are uploaded and attached to it. A campaign cannot start playing until at least one creative has been assigned and approved.

Note: This part of the process happens in Influence, not Planner. It is included here because it is the next step after a campaign is approved, and Planner users often need to complete it.

6.1 Opening Line Items

Every approved campaign is made up of one or more line items — each line item represents a specific inventory booking within the campaign (for example, one screen or one site). Creatives are assigned at the line item level.

  1. Open Influence and locate the deal that corresponds to your approved campaign.

  2. Review the deal overview, which shows the Goal, Total Line Items, Total Ad Plays, Total Impressions, and Budget.

  3. Click on a line item in the Line Items table to open it.

6.2 Assigning a Creative

This is where you upload or select the actual video or image file that should play on screen for this line item. The top of the screen shows four quick counters — Total Creatives, Approved, Pending Review, and Rejected — so you can track creative status at a glance.

  1. Click Assign Creative in the top-right corner.

  2. In the Add Creatives panel, either drag and drop a file directly, or choose one from the Content Hub on the right. Only creatives matching the required resolution and format (shown at the top, for example 2560x1080, Video) are shown.

  3. Click Add Creatives to confirm.

Once assigned, the creative appears in the list with a status of Pending — this means it has been uploaded but is still waiting for review.

6.3 Approving a Creative

A creative must be reviewed and approved before it is allowed to play. Depending on your role and permissions, you may be the one approving it, or it may be reviewed by another team member.

  • Status: Pending – Uploaded and waiting for review.

  • Status: Approved – Reviewed and cleared to play on screen.

  • Status: Rejected – Reviewed and declined; a new creative will need to be assigned.

  1. Open the line item and locate the creative with a Pending status.

  2. Use the row Actions (the icons on the right of each creative row) to preview, download, duplicate, or remove a creative.

  3. Once reviewed, approve the creative. The status updates immediately to Approved, and the summary counters at the top update to reflect the change.

Tip: Keep an eye on the Pending Review counter at the top of the screen — a campaign with creatives still pending review will not deliver impressions until they are approved.

7. Managing Campaigns

All campaigns you create — whether drafts, submitted, or approved — are listed in the Campaigns section, giving you one place to track and manage everything.

  1. From the left-hand menu, click Campaigns to view the full list.

  2. Each row shows the campaign name, the person who planned it, the flight dates, status, and total cost.

  3. Click the Actions menu (the three dots) next to any campaign to view further options, such as View Details, Edit Media Plan, View Media Plan, Duplicate, Download, or Archive.

  4. Use the Search bar and Filter options at the top to quickly find a specific campaign.

Tip: Campaign status labels (such as Draft, Pending, Approved, or Completed) make it easy to see at a glance what stage each campaign is at without opening it.
