LMX Platform | Publisher & Client Reference Guide

1. Dashboard & Performance Reporting

Q. What can I see on the LMX Dashboard?

The Dashboard gives you a consolidated, real-time view of your advertising business, combining financial performance, inventory utilization, and programmatic activity across three dedicated views: Traditional, Utilization, and Connect.

Q. What does the Traditional Dashboard show?

It provides a complete financial and operational snapshot, including Month-to-Date, Quarter-to-Date, and Year-to-Date earnings, a daily earnings trend chart, proposal and sales performance, top-earning inventory, and a summary of your active campaigns and clients.

Q. Can I filter my earnings data?

Yes. Earnings can be filtered by custom date range and by inventory type (Digital, Classic, or Network), and you can choose whether to include or exclude external proposals from the figures shown.

Q. How does LMX determine my top-performing inventory?

Top inventory is ranked by earnings generated, weighted by repeat bookings and usage frequency, and is broken out separately for Digital, Classic, and Network assets.

Q. What is the Utilization Dashboard used for?

It gives real-time visibility into how your inventory is performing operationally — what's booked, what's available, and where your revenue is coming from — so you can make informed inventory and pricing decisions. It includes revenue-by-channel breakdowns, top deals, available inventory percentages, and a booked-vs-free utilization trend.

Q. What is the Connect Dashboard, and who is it for?

Connect is the command center for programmatic advertising. It surfaces bid request and response volumes, ad delivery, buy rates, and revenue, along with rankings of your top Demand-Side Platform (DSP) partners and highest-performing programmatic deals.

Q. Can I filter data on the Connect Dashboard?

Yes. You can filter by date range, deal type (Direct or Open Auction), and by a specific deal.

2. Registry & Inventory Management

Q. What is the Registry module?

The Registry is the central hub for managing all of your billboard inventory on LMX. It covers your full Inventory List, tools to add new inventory individually or in bulk, and a calendar-based Availability View for planning.

Q. What types of inventory does LMX support?

Three types: Digital (DOOH) billboards, Classic (static) billboards, and Networks, which group multiple boards of the same type into a single bookable unit.

Q. How can I search and filter my inventory?

You can search by display name or reference ID, and filter by state, city, Designated Market Area (DMA), tags, venue type, and availability status.

Q. Can I export my inventory list?

Yes, the Export function downloads your full inventory list for the selected category and any filters you've applied.

Q. What's the difference between the 'Active' and 'Available' settings on a billboard?

Active indicates whether the billboard is operational, while Available indicates whether it currently has open booking slots. A billboard can be Active but fully booked, in which case it would show as not Available.

Q. How many steps does it take to onboard a new Digital billboard?

Six steps: Location, Specifications, Add Media, Configurations, Traditional Rate, and Programmatic Rate.

Q. Is onboarding a Classic billboard the same process?

It's simpler. Classic onboarding is four steps — Location, Specifications, Add Media, and Traditional Rate — and does not include a Programmatic Rate step, since Classic inventory is not sold programmatically.

Q. Can I restrict which buyers see a specific billboard?

Yes. Access can be set to Public, meaning visible to all buyers, or Specific, meaning restricted to a defined list of buyers.

Q. What is a Network, and can it combine Digital and Classic boards?

A Network groups multiple billboards into a single bookable unit with shared settings and a single rate card. A Network can only contain boards of one type — Digital or Classic — not a mix of both.

Q. Are Networks available for programmatic campaigns?

No. Networks are supported for Traditional deals only; programmatic buying is done at the individual billboard level.

Q. How do I onboard a large volume of inventory at once?

Use the Import Inventory tool. Your LMX onboarding team will provide a pre-defined Excel or CSV template with mandatory fields marked, which you complete and upload for bulk processing.

Q. What happens if there are errors in my import file?

The platform automatically validates every uploaded record. Any rows with missing or incorrect data are flagged with specific errors, which you can correct and re-upload.

Q. Are transit assets supported for bulk import?

Bus and Train transit inventory are supported, with additional fields for location type and circulation counts. Taxi and Fleet inventory are not supported via bulk import, due to their dynamic route structures, and must be added individually.

Q. What is the Availability View?

A calendar-style grid showing booking allocation across all of your inventory for a selected date range, viewable by Day, Week, Month, Quarter, or Year. It's a fast way to plan new campaigns without entering the Deals module.

Q. How do I read the color coding in Availability View?

Green means fully available, red means fully booked, grey means reserved by one user pending confirmation, purple means multiple users have simultaneous holds, blue indicates a special contract type (SAB or Pro Bono), brown indicates a pre-emptible booking, and orange indicates less than one full slot of Share of Voice.

Q. Can more than one buyer place a hold on the same inventory?

Yes, up to five buyers can hold simultaneous reservations on the same billboard for the same period. Whichever buyer completes the booking first secures the inventory, and the remaining holds automatically move up in priority.

3. Deals & Campaign Management

Q. How do I create a new campaign proposal?

Through the Plan a Campaign workflow — a guided six-step process covering Campaign Details, inventory Recommendations, an Estimation Summary, Scheduling, Review, and Proposal Generation.

Q. Is a CRM Opportunity ID required to create a campaign?

Only for publishers integrated with Salesforce, who use the Opportunity ID to link a campaign to an existing CRM opportunity. Non-CRM-integrated publishers can skip this field.

Q. What are my options for selecting inventory for a campaign?

You can browse availability using a color-coded Calendar view, an interactive Map view, a combined List and Map view, or a simple List view — whichever best suits how you plan.

Q. What is Share of Voice (SOV), and how is it calculated?

SOV is the percentage of a digital loop's advertising time allocated to a given campaign. It's calculated automatically from the loop length, spot duration, and number of clients sharing the loop — for example, one spot in a ten-spot loop equals 10% SOV. Increasing the number of spots increases both SOV and price.

Q. Why isn't SOV used for Classic billboards?

Classic bookings give the advertiser exclusive use of the full face for the booked period, so there is no shared loop and no SOV calculation — the client owns 100% of that placement.

Q. What financial estimates does LMX calculate automatically?

Impressions, unique reach, effective cost per thousand impressions (eCPM), average frequency, total spots, and total price — all recalculated dynamically as inventory is added to or removed from the campaign.

Q. Can Production and Installation costs be excluded from a proposal?

Yes. For Classic inventory, these costs are included by default but can be unchecked at proposal-review stage if you'd like to exclude them from the client-facing total.

Q. What formats can a proposal be delivered in?

Proposals can be downloaded as a PDF for sharing with advertisers, a PowerPoint deck for pitch meetings, or an Excel file for detailed budget and line-item review.

Q. How long is a reservation held before it expires?

A Primary Hold is held for 5 working days by default (calculated in EST, working days only) and can be manually adjusted. Additional holds on the same inventory cascade at 3-day intervals — 2nd Hold at 8 days, 3rd at 11, 4th at 14, and 5th at 17.

Q. What happens if a higher-priority hold is cancelled?

All lower-priority holds automatically move up one position and their expiry dates are recalculated, ensuring the inventory doesn't sit unresolved.

Q. Can a campaign be reopened after a proposal is generated?

Yes. Reopening a campaign allows further edits at any stage, and existing reservations or bookings are retained unless you explicitly remove them during editing.

Q. Is pricing negotiable after a proposal has been sent?

Yes, through the Negotiation module, which lets you apply a percentage or fixed discount to individual line items and shows the resulting negotiated rate alongside the original rate card.

Q. How is a campaign's overall status determined?

The overall campaign status always reflects the highest-priority status among its individual line items, following this order: Draft, Proposal Generated, Reserved, Approved, Booked, Live, and Completed.

Q. Where can I see all of my campaigns in one place?

The All Campaigns screen lists every campaign on the platform, searchable by campaign name, Opportunity ID, or Deal ID, and filterable by status, account executive, or user.

4. Platform Configuration

Q. What is the purpose of the Brands section?

Brands are the foundation of every campaign on LMX. Associating a campaign with the correct brand ensures alignment with that brand's buyer profile, creative direction, and marketing identity, and brands can optionally be linked to a specific DSP for programmatic targeting.

Q. Can Agencies be configured separately from Brands?

Yes. Agencies are set up with their own contact details and list of associated brands, so campaigns can be correctly attributed when an agency is buying on a brand's behalf.

Q. What are Tags used for?

Tags organize and categorize billboards and creative assets for faster discovery. Once created, they can be used to filter inventory in the Inventory List, during campaign planning and recommendations, for programmatic line items, and when assigning creative assets.

Q. Do minimum booking requirements differ between Digital and Classic inventory?

Yes. Digital billboards support both hour-based and day-based minimum booking thresholds, while Classic billboards, being static, use day-based minimums only.

Q. What Rate Card types are available?

Monthly, Weekly, Daily, and Spot rate cards are available for both inventory types; Hourly rate cards are available for Digital billboards only.

Q. Can rate cards be customized for specific clients or billboards?

Yes. Customised Rate Card Terms let you override standard pricing for a specific billboard format or individual billboard, and discounts can be applied for consecutive bookings.

Q. Can I configure fees for programmatic deals?

Yes, through SSP Fees, where a fee percentage can be set independently for each programmatic deal type — Programmatic Guaranteed, Preferred, Private Auction, Open Auction, Evergreen PMP, and DV360.

Q. Is Multi-Factor Authentication (MFA) available?

Yes. Enabling MFA adds a mandatory two-step login process — password plus a verification code — across all user accounts, to help protect against unauthorised access.

Q. What's the difference between Proposal Validity and Direct Deals Validity?

Proposal Validity controls how many days a traditional proposal remains valid before it expires; Direct Deals Validity controls the same for a programmatic proposal. Both are configurable independently.
